			<content:encoded><![CDATA[<p>So you’ve got customers, you’ve got cash flow, all this is great.  The thing you can’t find anymore is time.  This is a serious problem for the owner of a small business who wants it to grow.  Customers are today’s cash flow, but prospects are tomorrow’s and if you don’t nurture your prospects somebody else will.  </p>
<p>Nurturing prospects requires that you be available when they express interest, ready to respond with the very information they seek.  It’s pretty much impossible when your time is taken up with existing customers.  Keeping up with both customers and prospects doesn’t actually require that you clone yourself and your staff.  Before you start looking for a mad scientist, go look at email marketing software and web forms.  </p>
<p>Email marketing software allows a business to nurture a relationship with prospects (and customers) while doing something else.  Good ones allow you to schedule emails to go out over a period of days or weeks automatically.  Web forms, when placed on your website, allow prospects to express interest in a particular product or service you offer.  </p>
<p>When you’re really cooking, a prospect visits your website, puts name and email address in a web form asking for information, and clicks “Submit.”  An autoresponder (email that is sent automatically when the form “submit” button is clicked) thanks them, and then your email marketing software starts sending them information over several days or weeks.  Of course, there is a request to buy in each email.  And all of this happens while you and your staff are otherwise occupied.  </p>
<p>If you are tired of trying and failing to keep up with your customer and prospects, give email marketing software and web forms a try.  Then you’ll be the one talking to both.</p>

			<content:encoded><![CDATA[<p>Does your contact profile help you market?  If it doesn&#8217;t you are keeping the wrong information in it.  Lets go over a couple of basics.</p>
<p>Who or what is a contact?  For marketing, contacts are generally divided into prospects  and clients.  A prospect has not yet bought from you and a client has.  If you want to communicate with a contact you have to have at least a name, and a physical address and/or an email address, depending on the type of communication you are planning.</p>
<p>Marketing requires something more. Selling to a prospect requires tracking what that person has expressed interest about.  What a client bought last time tells you what they might be interested in next time.  If you track reasons for buying you learn a lot about which prospects are ever likely to become clients.  You also learn what other products on your list might be sold to which existing clients.</p>
<p>Every six months, do something to validate email addresses.  Make sure everyone has a way to update their contact information with you.  Finally, screen prospects so you don&#8217;t junk up your contact list with people who are never going to buy from you.  Prospects are only prospects if they fall within your market definition.</p>
<p>If you keep other information in your contact records, question it.  If information you keep doesn&#8217;t help you market, sell, or deliver an outstanding customer experience, it is just a burden.  Delete it.</p>

			<content:encoded><![CDATA[<p>Lots of small business owners think about getting more organized and getting more automated at the same time.  They really are interconnected ideas.  So the question becomes: which comes first?  I&#8217;m not sure it matters.  A business improves itself through strategic initiatives of either kind, so in lots of ways as long as you pick one and follow through things will get better.  The key phrases here are &#8220;strategic&#8221; and &#8220;follow through&#8221; and they apply to either organizing or automating.</p>
<p>Sometimes the automation tool you choose organizes the work without much conscious thought.  For instance, the email program your business uses formats email for everybody.  It provides a place to put all of the parts of an email and users cannot choose other places to put parts like &#8220;To&#8221; and &#8220;From.&#8221;  Instant standardization.  Isn&#8217;t it interesting how we don&#8217;t question that?</p>
<p>Organizing is the driving force when there is not enough information to make a decision.  If you are drowning in paper records, for instance, and decide to reduce what is kept.  It would be foolish to simply start shredding until you know what all of that paper is.  Sort first, then determine what to keep and what to shred.  Than maybe you scan it all into digital form so you can automate searches.</p>
